Onboarding Internal Users to REDCap
Internal users include all current staff and students at the University of Cambridge.
Access to CAM:IDE-supported REDCap projects is requested through a dedicated REDCap form. A separate form must be submitted for each user.
This form must be completed by the Chief Investigator (CI) or a named delegate.
The Chief Investigator (CI) or their delegate is only responsible for completing Step 1 of the process outlined below. All subsequent steps (steps 2 and 3) are included for reference only and are completed by the visitor or the CAM:IDE team.
Step 1: Submit Access Request
Submit access requests for internal users here: https://redcap.link/internal-redcap-access
You’ll first need to enter your own name and email address (as the CI or their delegate). This initial step helps us confirm that the request is genuinely coming from the CI or an authorised delegate.
Once you’ve submitted this form, you will immediately receive an email with a link to a second survey to complete the request.
You’ll be asked to provide:
- User’s name and University email address
- User’s CRSid
- Study name(s)
- Platform(s) requested (REDCap Safe Haven and/or REDCap Anonymised)
- Data Access Group (if applicable)
- A Data Access Group (DAG) is typically the user’s University, Trust, hospital, or region. DAGs are used in REDCap to control which records a user can view. For example, a user assigned to the Cambridge University Hospitals NHS Trust DAG would only be able to see records belonging to that DAG.
- Not all projects use DAGs — if you are unsure whether your project has DAGs enabled, please contact us.
- User’s role: Choose from data entry, data export, data entry and export, database design, and bespoke.
- Access start and end dates

Once submitted, the CAM:IDE help desk will automatically be notified. We’ll review the request and begin onboarding the user.
Step 2: REDCap Anonymised Access (if requested)
If REDCap Anonymised access is requested, we will add the user to the relevant project(s) via CenCom, which will automatically sync with REDCap Anonymised.
The user will then receive an email from REDCap (redcap@camide.cam.ac.uk) confirming their account is ready to use, along with login instructions.
Step 3: REDCap Safe Haven Access (if requested)
If REDCap Safe Haven access is requested, the user will be sent a form to confirm they have:
- Read and agree to the Safe Haven terms and conditions
- Completed cyber security and data protection training within the last year, along with the date these trainings were completed
Once the user is added in CenCom, the CAM:IDE team will submit a Safe Haven access request to the University Information Services (UIS). Approval usually takes 1–2 working days.
Once UIS confirm approval, the user will receive an email from REDCap (redcap@camide.cam.ac.uk) confirming their account is ready to use, along with login instructions.
